Steps to Getting Hired

Once you have accepted an offer for a teaching position, schedule a new hire appointment with Extension Human Resources.

Complete the required new hire forms via DocuSign

  • Employment Application
  • Personal Data Form

  • Social Security Notice

(All areas requesting employee ID will be left for HR Representative to complete.)

Schedule your virtual new hire appointment with an EHR representative by visiting the link below (please only schedule an appointment if our team has reached out to you):

You are required to complete Section 1 of the I-9 Form using an electronic system to verify your eligibility to work in the United States. In addition, you will need an authorized agent to physically inspect your documents during your virtual appointment.

What does this mean?

The United States Department of Homeland Security will allow employees to use an Authorized Agent to complete the in-person physical inspection of the employee’s work authorization documents.

What is an Authorized Agent?

The Authorized Agent must be over 18 years old. It is best practice to designate a non-family member (e.g., a neighbor, friend, colleague), although exceptions may be applied given the circumstances. This individual must be able to verify your documents in person and complete an amendment to your Form I-9 online.

What action needs to be taken?

Please identify who will serve as your Authorized Agent by responding to this message with their name and email address. Please keep in mind that you and your authorized agent person need to be available to meet on Zoom with our team. To be clear, you and your authorized agent will be together physically on this call while meeting with your HR representative via Zoom, who will help guide you through the process. We expect this call to be less than 15 minutes.

Please be sure to complete your new hire documents and schedule your virtual onboarding appointment that includes your authorized agent in the next 1-2 weeks to avoid any delays in the hiring process.

  • As a reminder, you and your authorized agent will be together physically on this call while meeting with Extension Human Resources via Zoom.

Items to complete prior to your meeting with Extension Human Resources and your Authorized Agent:

  • Please complete section 1 of the I-9 form:
    • You recently received an email from <i9complete@trackercorp.com> Email subject: Form I-9 for New Hire: Must Complete Prior to Work. Please be sure to complete section 1 before our meeting. Authorized agent- no action is needed on your end until we all meet via Zoom. The list of acceptable I-9 documents may be viewed here.
  • No action is needed from the Authorized Agent until you meet with Extension Human Resources via Zoom.

Once you meet with your HR representative your documents will be processed and you'll be officially hired. The estimated timeline to process your new hire documents is 2 weeks.

SARS-CoV-2 Vaccination Program Policy

As a condition of employment, you will be required to comply with the University of California SARS-CoV-2 (COVID-19) Vaccination Program PolicyAll Covered Individuals under the policy must provide proof of Full Vaccination or, if applicable, submit a request for Exception (based on Medical Exemption, Disability, and/or Religious Objection) or Deferral (based on pregnancy) no later than the applicable deadline.  For new University of California employees, the applicable deadline is eight weeks after their first date of employment.  (Capitalized terms in this paragraph are defined in the policy.)
